All client data is classified into three tiers — Confidential, Internal, and General — with strict need-to-know access. Every team member is granted access only to the specific client they are assigned to. No cross-client visibility. Ever.
Layered Data Classification & Access Control
Client files are protected by AES-256 encryption at rest and TLS in transit via Microsoft 365. Allaccounts require multi-factor authentication, session timeouts, and endpoint protection.Passwords are managed through a dedicated team vault.
Enterprise-Grade Technical Safeguards
Three Brothers Financial Services follows written protocols for client onboarding, data handling,and team offboarding — access is revoked within 24 hours of any personnel change. All activityis logged through the Microsoft 365 Unified Audit Log.
Documented Operational Procedures
Every client relationship is backed by a signed NDA, Data Processing Agreement, and aformal data retention policy anchored to IRS requirements. Client data is held for 7years then securely deleted — with written confirmation.
